ReplyFast is operated by Devvizion (“we”, “us”). This policy explains how we process personal data when you use our hosted auto-reply and follow-up service for website enquiries.

Who is responsible for lead data

You (the customer / buyer) are the data controller for personal data about your leads (for example name, email address, phone number, and message content submitted through your forms). You decide why that data is collected and how it is used in your business, including the wording of emails sent via ReplyFast.

We act as a data processor for that lead information: we store and process it only on your instructions to run the service (auto-reply, follow-ups, opt-out handling, and lead log).

Data we process as processor (your leads)

• Contact details and enquiry content you receive via webhook or integration
• Email delivery status and follow-up schedule
• Opt-out / STOP requests linked to a lead

We do not sell lead data. We do not use your leads for our own marketing. Retention follows your account settings and operational needs; you may request deletion of your account data by contacting us.

Data we process as controller (your account)

When you sign up and use ReplyFast, we are the controller for:

• Your work email and account identifiers (including login codes)
• Billing and subscription records where applicable
• Technical logs needed for security, abuse prevention, and service reliability

Lawful bases typically include contract (providing the service), legitimate interests (security and improvement), and consent where required (for example optional marketing from us to you).

Sub-processors and transfers

We use infrastructure and email delivery providers to host and send messages. They process data only to provide those services under contract. Where data leaves the UK, we rely on appropriate safeguards (such as UK international data transfer mechanisms) as required by UK law.

Your rights (account data)

Under UK GDPR you may have rights to access, rectify, erase, restrict, object, and data portability regarding personal data we control about you. Contact us to exercise these rights.

For lead data, requests from individuals should normally be directed to you as controller; we will assist you as processor where the law requires.

Security

We apply reasonable technical and organisational measures to protect data. No online service can guarantee absolute security; you are responsible for securing your login, SMTP credentials, and integrations on your side.

Children

ReplyFast is a business service and is not directed at children.

We may update this policy. Material changes will be reflected on this page with an updated date.
